Before You Start

The single most important rule for new printer setup: always download the driver from the manufacturer's website, not from Windows Update or whatever is on the CD in the box. Manufacturer-provided drivers include all software features (scanning, fax, ink monitoring), while generic drivers provide only basic printing.

Before setup, identify your connection type: USB (direct cable to computer), Wi-Fi/wireless, or Ethernet. The setup process differs for each.

USB Printer Setup

Windows — USB

  1. Download the full driver package from the manufacturer's website
  2. Run the installer — do NOT connect the USB cable yet
  3. When prompted during installation, connect the USB cable
  4. Finish the wizard and print a test page

Mac — USB

  1. Connect the USB cable — macOS may auto-detect and install AirPrint driver
  2. If more features needed, download the full driver from manufacturer
  3. System Settings → Printers & Scanners → click + to add
  4. Select your printer and click Add

USB setup order matters. For most USB printers, the driver must be installed before connecting the USB cable. If you plug in first, Windows installs a generic driver that's harder to replace later. If you already connected, uninstall the printer, disconnect USB, then reinstall the driver package from scratch.

Wireless Printer Setup

Step 1 — Connect the Printer to Wi-Fi

First, connect the printer itself to your Wi-Fi network. Most modern printers have a touchscreen or button menu:

  1. On the printer's control panel: navigate to Setup → Wireless Settings → Wireless Setup Wizard (exact menu varies by brand).
  2. Select your Wi-Fi network name (SSID) and enter the Wi-Fi password.
  3. Wait for the printer to confirm it's connected — most show a solid wireless indicator light or a connection confirmation screen.
  4. Print a wireless test page from the printer's menu to confirm the connection and note the IP address.

Step 2 — Add the Printer to Your Computer

Windows:

  1. Ensure your computer is on the same Wi-Fi network as the printer.
  2. Download and run the full driver package from the manufacturer — it should auto-discover the printer on the network.
  3. If it doesn't auto-discover: Settings → Bluetooth & devices → Printers & scanners → Add device → The printer isn't listed → Add manually → Add a printer by IP address or hostname.

Mac:

  1. System Settings → Printers & Scanners → click +.
  2. Most wireless printers appear automatically via Bonjour/AirPrint — select yours and click Add.
  3. If it doesn't appear: click the IP tab, enter the printer's IP address, set Protocol to "Internet Printing Protocol - IPP," and click Add.

Sharing a Printer on a Network

To share a USB printer with other computers on your home or office network:

  • Windows: Control Panel → Devices and Printers → right-click the printer → Printer Properties → Sharing tab → check "Share this printer." Enable File and Printer Sharing in Network and Sharing Center.
  • Mac: System Settings → General → Sharing → turn on Printer Sharing → select which printers to share.

Other computers on the network can then add the shared printer by browsing the network or using the host computer's IP address.

After Setup — Optimize Print Quality

  • Print a test page to verify all colors and functions work
  • Run print head alignment on inkjet printers (usually in printer software or Maintenance settings)
  • Set the default paper size and quality in printer preferences to match your typical use
  • Update the printer's firmware if prompted — improves reliability and fixes bugs
