Why Printers Are So Difficult
Printers are statistically the most frustrating piece of technology in any home or office — and for good reason. They combine mechanical components, networking, drivers, print queues, and ink management into a single device that has to work perfectly every time. When something goes wrong, the error messages are often vague and the cause isn't obvious.
This guide covers the most common printer failure modes and the fixes that actually resolve them, for both USB-connected and network printers on Windows and Mac.
Printer Shows as Offline
"Printer Offline" is the most common printer complaint we hear. It means Windows lost communication with the printer — but the printer itself may be perfectly fine.
Fix for Windows
- Open Settings → Bluetooth & devices → Printers & scanners.
- Select your printer → Open print queue.
- In the print queue window, click Printer → Use Printer Online (uncheck "Use Printer Offline" if checked).
- If that doesn't work, right-click the printer → See what's printing → clear all pending jobs → try printing a test page.
Fix for Mac
- System Settings → Printers & Scanners.
- Select the printer — if it shows a yellow or orange indicator, click Open Print Queue.
- In the queue, click Resume. If jobs are stuck, delete them all and try again.
- If the printer still won't come online, delete it and re-add it (minus button → plus button).
Stuck Print Queue
Jobs that get stuck in the print queue prevent anything else from printing. The fix is to clear the spooler:
Windows — Clear Print Spooler
- Press Win+R, type
services.msc, find Print Spooler → right-click → Stop. - Press Win+R, type
%systemroot%\System32\spool\PRINTERS, delete all files in this folder (not the folder itself). - Go back to Services → Start the Print Spooler.
- Try printing again — the queue is now clear.
Driver Issues
An outdated, corrupted, or missing printer driver causes print failures, missing features, and incorrect output. Always download the driver from the printer manufacturer's website — not from Windows Update, which often provides a generic driver with limited functionality.
Reinstall the Driver
In Printers & Scanners, remove the printer. Download the full driver package from the manufacturer (HP, Canon, Epson, Brother), install, and re-add the printer.
Clean Uninstall First
For persistent driver issues, use the manufacturer's uninstall utility (e.g., HP Print and Scan Doctor) to fully remove all driver components before reinstalling.
Network Printer Not Found
Wireless and Ethernet printers that worked before and suddenly stopped are usually experiencing one of three issues:
- IP address change: The printer received a new IP from your router. Give the printer a static/reserved IP in your router settings, then update the port in Windows.
- Printer disconnected from Wi-Fi: Power cycle the printer and let it reconnect. Check the printer's network settings page (print a config page or check the display panel).
- Firewall blocking: Windows Firewall may block printer discovery. Go to Control Panel → Windows Defender Firewall → Allow an app — ensure "File and Printer Sharing" is checked.
Mac AirPrint. Most modern printers support Apple AirPrint natively on Mac — no driver needed. If adding the printer via AirPrint works, use that instead of a third-party driver. It's simpler and stays functional through macOS updates.
Paper Jams
Even when no paper is visibly stuck, a small scrap can trigger a jam detection. Follow the printer's manual jam-clearing procedure (typically printed inside the access panel). Check all trays, the duplexer, and the rear access door. Remove paper slowly and in the direction of travel. After clearing, print a test page to confirm the sensors reset.
Ink and Toner Issues
- Low ink warning but printing fine: Ignore warnings until print quality actually degrades — manufacturers set "low" conservatively.
- Streaks or banding: Run the printer's built-in print head cleaning utility (in the printer software or the printer's own control panel).
- Color shifted: Run a print head alignment. On most printers: Maintenance → Alignment → Print alignment page → Scan or enter values.
- Nothing printing despite full cartridges: Remove and reseat the cartridges. Check that protective tape was removed from new cartridges.
